Accountant for Gyms and Fitness Studios in Ottawa

Fitness revenue arrives in many shapes: monthly drafts, annual memberships paid up front, drop-ins, class packs, training packages and gift cards. As an accountant for gyms, boutique studios and independent trainers in Ottawa, BBA Tax turns those payments into clean books, files your HST, runs payroll for coaches and front-desk staff, and prepares your year-end returns. You see what you actually earned each month, not just what landed in the bank.

What We Do for Gyms and Studios

We reconcile payouts from your membership software and card processor to the bank, net of fees, refunds and failed payments. Annual memberships and class packs sit as unearned revenue until members use them, and unredeemed gift card balances stay on the books as a liability.

We run payroll for instructors, coaches and front-desk staff, with 2026 deductions of 5.95% for CPP and 1.63% for EI plus income tax. We remit on schedule, add Ontario vacation pay, issue Records of Employment and T4 slips, and prepare T4As for contract trainers paid over $500 in a year.

Memberships, classes and personal training are generally taxable at 13% in Ontario. We register your business when it outgrows small supplier status at $30,000 in sales, or sooner if registering voluntarily makes sense, charge HST correctly on each product, and check whether the Quick Method would suit your studio.

Racks, bikes, rowers and reformers are generally capital assets rather than expenses, and so is the work to fit out a leased space. We sort each purchase into the right capital cost allowance class, net of the input tax credits you claim, and plan purchase timing around the rules in force.

Self-employed trainers report their business income and expenses on their personal return. We track costs like gym space rental, equipment, insurance and marketing, claim what you are entitled to, and tell you when HST registration or quarterly tax instalments start to apply to you.

Built Around How Members Pay

A member who pays $1,200 for a year in January hasn’t given you $1,200 of January revenue. In your books, that payment is earned month by month as the membership runs, and class packs or training bundles are earned as sessions are used. Recording it this way shows your real monthly income and makes refunds and freezes easier to handle.

Staffing adds another layer. If you pay some instructors per class as contractors and others through payroll, each arrangement needs to hold up. The CRA looks at the actual working relationship rather than the label in the contract, as our guide to employee vs contractor status in Canada explains. We help you set each person up correctly from the start.

An Accountant for Gyms, Studios and Trainers

BBA Tax handles the full cycle for fitness businesses: monthly bookkeeping in QuickBooks, HST returns, payroll and remittances, T4 and T4A slips, year-end financial statements and corporate or personal tax returns. Whether you run a full gym, a yoga, pilates or spin studio, or a one-person training business, we work from the sales reports and processor statements you already have. Owners in Ottawa are welcome at our Westboro office.

Why Fitness Businesses Need an Accountant Who Knows the Industry

Gyms and studios collect money before they deliver the service, sell gift cards that can sit unused for years, and may rely on a mix of employees and contract instructors. Each of those raises tax and bookkeeping questions that a generic approach can miss. These are the four areas we watch most closely for fitness owners.

Prepaid Revenue Needs a Plan

For income tax, prepaid membership fees are generally included in income when you receive them, but a reasonable reserve can usually be deducted for services you will deliver after year-end. That reserve is added back to income the next year. It matters most when you sell many annual memberships shortly before your year-end.

Gift Cards and Class Packs Differ

A gift card carries no HST when you sell it; tax applies when it is redeemed for a class or product. A class pack is generally different: it is a prepayment for your own classes, so HST is usually charged at the time of sale. For income tax, the CRA treats gift card sales as income when sold, with an optional reserve for cards expected to be redeemed after year-end.

Trainer Status Has Consequences

Whether a trainer is an employee or a contractor decides whether you deduct CPP, EI and income tax and issue a T4, or report their fees on a T4A once they pass $500 in a year. Getting it right when you hire is far easier than fixing it after the CRA asks questions. If status is unclear, either side can ask the CRA for a ruling.

Ontario Membership Rules

Ontario’s Consumer Protection Act generally limits fitness membership agreements to one year, requires you to offer equal monthly payments, and gives members a 10-day cooling-off period. Selling memberships before a new studio opens is restricted too: those payments generally have to be held by a registered trust corporation. These rules shape your refunds, presales and cash flow.

Tax Preparation & Filing for Fitness Businesses

Filing dates depend on your structure. An incorporated gym has six months after its year-end to file its T2. A self-employed trainer’s 2026 return is due June 15, 2027, though any balance owing must be paid by April 30. Your 2026 T4 and T4A slips must be filed by March 1, 2027. We help with:

Year-end statements and T2 returns for incorporated gyms

T1 returns with business income for independent trainers

HST returns, payroll remittances, and T4 and T4A slips

Gym and Studio Accounting FAQ

Do gyms charge HST on memberships in Ontario?

Yes, generally. Memberships, fitness classes and personal training are taxable services, so a registered business charges 13% HST to Ontario members. Registration is required as soon as taxable sales go over $30,000, either within one calendar quarter or in total over four quarters in a row; below that, you are a small supplier and registering is optional. Going over $30,000 within one quarter means registering within 29 days.

Are personal trainers employees or independent contractors?

It depends on the actual working relationship, not the title or the contract alone. The CRA looks at who controls how and when the work is done, who supplies the tools and equipment, whether the trainer can hire helpers or subcontract, who carries the financial risk, who has invested in the business, and who has the opportunity for profit. A trainer who sets their own rates, finds their own clients and rents space from you looks more like a contractor than one who follows your schedule.

What CCA class is gym equipment?

Most gym equipment, such as racks, cardio machines, bikes and reformers, is Class 8 property, written off at 20% a year on a declining balance. Computers and tablets go in Class 50 at 55%, and improvements to a leased space go in Class 13, where the write-off depends on the lease. Any input tax credit you claim reduces the capital cost. Draft federal legislation released on September 15, 2026 proposes immediate expensing for most equipment acquired on or after that date; until it passes, the regular rules apply.

Can gift cards expire in Ontario?

Generally no. Ontario’s consumer protection rules prohibit expiry dates on gift cards, and a card sold with one is treated as if it had no expiry date. The main exception for a studio is a card that covers only one specific good or service, such as a single named class. Because most cards never lapse, unredeemed balances should be tracked as a liability in your financial statements until they are used.
